Complete the following activitiess:

1. Write a project briefing report

The CEO has asked you to be gin your work on the project by writing a briefing report to verify that the project supports the company’s strategic plans and complies with current legislation.

The strategic and operatio nal needs of the ICT project during the planning phase The project’s strategic co ntext and requirements
Identification and exploration of client requirements
Summary of the impact of legislation and industry codes and standards
A risk-management plan

2. Write an ICT Project Plan
Review the case study inform ation and the Project Management Policy and Pr ocedures.

Your Project Plan should inclu de the following:
Introduction, including the expected project outcomes.
Define and document pre cise specifications and terms of reference for the project Work breakdown structur e
Identify the project budge t, specified to a level that can be used for the ma nagement of sub-tasks
Define the skills needed f or the successful completion of the project.
Define the physical and o ther resources required to support the project
Give timelines, schedules and the critical path for the project, taking into co nsideration contingencies and plannin g for time slippages
Define the consultation st rategy or process that will be used to inform the c lients, contractors and other interested parties of the project’s progress, and seek their input as required
Define how the project will be finalised. See assessment task 4 to ensure that all elements of the project wrap-up are includ ed.
Use the Project Plan Templat e and the Project Schedule Template to guide your work.
You will be presenting your pl an to the Project Team and then revising it to inc orporate the other team members’ feedback, so save this document as Draft Project Plan.

3. Prepare a draft of an email to be sent to the CEO (your assessor).
The text of the email should be in grammatically correct English, written in an a ppropriate (polite, business-like) style.

It should introduce and summarise the contents of the attachments and seek th eir feedback and approval to move forward with the project.
The email text should also give some details about the people that you would like to have in the project team. Together you should have all of the skills required to successfully compl ete the project.

Attach the following to the email:
Project Briefing Report Project Plan
Project Schedule

4. Prepare a draft of an email to the CEO (your assessor).
The text of the email should be in grammatically correct English, written in an a ppropriate (polite, business-like) style.

It should introduce and summarise the contents of the attachment and ask the m when they would be able to attend a meeting to dis cuss it.
Attach your Draft Project Plan to the email.

5. Meet with the ICT Project Tea m
After you have made any nec essary introductions and briefly summarised the project, go through your project plan with the rest of th e Project Team. As your team members for their feedback on your plan.

Ensure that each team member is aware of their roles, the levels of delegated responsibility that they will carry, and the outcomes t hat they are expected to achieve.
The team members should als o be aware of the reporting process that you hav e established, and what that means for their own repor ting responsibilities.
During the meeting, you are r equired to demonstrate effective communication skills including:
Speaking clearly and con cisely
Using non-verbal commu nication to assist with understanding Asking questions to identify required information
Responding to questions as required
Using active listening tech niques to confirm understanding

6. Revise the Project Plan
Update the Project Plan to incorporate the feedback that you received at the meeting.
Save this version of the docu ment as Revised Project Plan.

7. Submit the following along with draft an email to the CEO (your assessor).
The text of the email should be in grammatically correct English, written in an a ppropriate (polite, business-like) style.

It should mention the Project Team meeting and summarise the feedback that you received.
The email text should also outline any changes that you have made to the Project Plan.
Attach your Revised Project Plan to the email.
